We are planning our 5th annual women's conference & I am in charge of publicity. Our goal is to provide a LOCAL conference that not only our women come to, but women's groups from other churches. It is in 2 months, and we are already mobilizing our troops - had a sneak preview meeting last night for all our church ladies & had 25 people there who are going to be involved. Praise God!

We have always done the traditional publicity - mailouts, calling other churches. We are planning on putting it on free community calendar spots on the radio & tv. I was wondering if any of you have some CREATIVE ways to publicize an event like this.

I guess also, I would like to know, what would a church need to say to you & your ladies group that would make you excited to attend a conference at their church. We are not trying to take members away - just minister to local ladies effectively and affordably and add to their women's ministry efforts.

Have you ever thought of calling the churches and gettting the contact of their women's ministry. Then you could have a presentation you could bring to their meeting. Ask to be a guess spotlight. USing the personal touch. It would take some planning but what a way to invite someone. Hope this helps

As a Women's Ministry Leader and Pastor's Wife, if I were sold on it then I would in turn sell it to my ladies and encourage participation. I would be sold on something like this only through personal invitation. I receive invites on a regular basis to women's conferences. I do not go because I don't know much about them. However, if someone from one of these conferences were to personally invite me I would be more inclined to give it some consideration.

We had a big ladies conference last year, and we sent a personal invitation to each of the ladies' group leaders (like Jodi suggested). It was followed up by a personal phone call a week later just to make sure that she got it & to see if she had any questions. What seemed to really give it an extra push was that we offered the leader who had the most attend from her church/group a really great prize. It was a spa gift certificate for a full day's worth of pampering. Also, we gave out special prizes for each leader who had at least 10 come.

Another thing we did was a lot of fun. We video taped a skit that was like a commercial for the event & mailed a copy to each of the churches putting it to the attention of the Women's Ministry Leader. It really helped! We were surprised at how many said that they signed up just because of our homemade commercial.

Another great idea! I'm meeting with my promo team this morning - I'll run those ideas by them. I love the idea of prizes for bringing them. We had already planned to do a promo video, but just for our church. Maybe we can send it to others. Did you do video tape or DVD format? Was it professional or a little goofy?

How many people did you have at yours? What was your format, theme, etc.

Hi Laura,

We (after much debate) decided to use DVD rather than VHS because we figured it would be easier to mail, and a lot of people have done away with their VHS players. We went with the non-professional, humorous approach. Laughter always seems more inviting to me.

We ended up with 176 women which was quite a shock. Our theme was "Circle Your Wagons" -- we used western-themed decorations. It was based on the idea that we all need to work together as the Body of Christ. Instead of treating each other as though we are competitors, we need to circle our wagons together like the pioneers did to keep the enemy (Satan) out of the camp. My Mom was the special speaker (she is truly gifted in that area). The lessons were great! Very challenging.

I should probably mention that this wasn't something my church did, it was something that our local non-profit Christian ministry hosted. I work there as a volunteer (my Mom is the director). It is focused on ministering to the Spiritual, physical, & emotional needs of women in our community.

It was used as a community outreach as well as an attempt to get the ladies from different churches in our community to bond together & find that we have so much more in common than they realized. It worked!

There were several churches who didn't want anything to do with this. Mostly because our organization holds to the Baptist doctrinal beliefs, but there were many who did get involved & are actively involved in our organization now. We are reaching so many more women who are in desperate need now than we were last year because we have the extra help!

We put about 5 months worth of prep into it. We listed out all of the different areas for which we needed volunteers. Publicity, Food, Decorations, Hospitality, Photography, Media...it was a long list. We didn't ask for random volunteers, though. We prayed through the list & had several meetings with the women who wanted to help. Then, we asked the ones who were gifted in each area to cover that specific area. That way we didn't end up with someone who has no talent in decorating volunteering to do that when she really is gifted in hospitality. It took a lot of planning, but God was with us through it all. My Mom & I are so used to doing it all ourselves that it was hard to delegate because we were worried that it wouldn't get done, but that really is hogging blessings from others. So, we had to let go of that thinking & trust God.

Hey Stacey - thanks for all the info. I don't mind rambling...in fact I'm quite good at it myself.

We used the same idea (I posted under a topic called Praise Report, Motivated Women). It has worked wonders to put people into positions that they are trulty gifted in. In fact I worked this morning with 3 women who are really good at mailouts. Sounds silly, but some women just get bogged down & don't get it. But these really went to it.

Anwhoooo -rambling.

I will use some of your ideas. We have had about 65-70 people at our conferences in the past and are praying for 150 (yikes!) That will max us out as far as space & resources.
